Operation of current and/or savings accounts with a Bank on behalf of the Body Corporate.
Assisting the Board of Trustees in the determination of replacement values of improvements for insurance purposes and arranging for valuations where required.
Arranging, if required, for quotations annually for the fidelity and liability insurance of building and improvements and any other insurance the Body Corporate may require, the revisions to be considered by the Trustees and approved at the Annual General Meeting.
Handling insurance claims on behalf of the Body Corporate with regards to the Common Property.
Assisting and advising the Board of Trustees on the enforcement of the Rules adopted by the Body Corporate.
Assisting and advising the Board of Trustees in the maintenance of the common property at their request.
The collection/receipt of levies and of other income due to the Body Corporate as advised by the Trustees.
Verification and payment from available funds of accounts payable by the Body Corporate.
Payment of salaries, wages, taxation, Unemployment Insurance Fund, levies and Workmen’s Compensation assessments on the dates and in the manner determined by the Managing Agent (if applicable)
Preparation and submission, if required, to the Board of Trustees, of a monthly arrear report.
Arranging, attending and minuting the Annual General Meetings. The preparation and dispatch of the following documentation in respect of the Annual General Meetings: notices of meetings, agendas, nomination forms, proxy forms, schedule of insurance values, estimates in income and expenditure and levy calculation.
Storing the Minute Books, attendance registers, the register of sectional mortgagees, sectional plans, rules, house rules, insurance policies and all other permanent records of the Body Corporate, if required.
Assisting and advising the Board of Trustees on procedural matters in respect of general meetings, quorums, proxies, resolutions, voting rights, etc.
Keeping records in accordance with generally accepted practice including, at the discretion of the Managing Agent, storage of information with the consent of the auditor of the Body Corporate.
Preparation of annual estimates of income and expenditure and levy calculation for submission to the Board of Trustees and the Body Corporate for approval.
Periodic review of the estimate of expenditure.
Keeping proper books of account in terms of normal accounting principals.
Arranging the annual audit with the accountant of the Body Corporate and, on completion, submission of the audited financial statement to the Body Corporate
The Managing Agent, may in its discretion, provide optional services or other services as and when they become necessary or the Trustees specifically request them.
